Build a check-in workflow that runs every time you scan an attendee — collect a signature, take a photo, assign a barcode or wristband, hand out product pickups, send a message, and more.

Check-in actions are steps that run automatically each time you check an attendee in. Instead of scattering features like signature capture or photo capture across the app, you build one workflow that the scanner runs in order, so staff just follow the on-screen prompts.

Requirements: A check-in action template added to the event, configured in the event’s Design and setup area.

Set up check-in actions

  1. Open the event and go to Design and setup.

  2. Open the check-in actions setup box.

  3. Add each action you want, in the order staff should perform it. Drag actions to reorder them.

  4. For each action, set its name and any options it offers, then save.

The workflow now runs in the scanner app. When staff check an attendee in, the actions appear as on-screen prompts in the order you set.

Available actions

Each action runs at check-in. Some offer extra options when you add them.

  • Assign barcode — assigns a new barcode to the attendee at check-in, for example activating a wristband or badge from a pre-printed stock pile. You can limit this action to specific registration types.
  • Product pickup — tracks add-ons, products, and other items you give out during check-in. See Product pickups.
  • Signature — collects a signature from the attendee at check-in. The signature is saved to the attendee’s record.
  • Take photo — takes a photo of the attendee.
  • Print badge — prints a name badge.
  • Send message — sends a message to the attendee. You can send an SMS, an email, or both, and write the text or choose an email template. Sending SMS requires connecting Twilio first (under Apps → Connect Twilio).
  • Assign party leader — reassigns every guest in the party to be under the attendee being checked in.
  • Check in guests — checks in all guests in the attendee’s party.
  • Collect fields — collects missing custom ticket fields for the attendee.

FAQ

Can I run a check-in action for sessions as well as the main check-in?

Yes. Each action has an option to apply to sessions, which runs it for both the main registration check-in and session check-ins.

Where do collected signatures and photos appear?

On the attendee’s record in the backend, where you can view them after the event.

Can I collect a signature at check-out?

No. Signature capture runs at check-in only.

Who receives the SMS or email from a Send message action?

The attendee on the scanned ticket — the message goes to the phone number or email address on that ticket. To route an alert to a staff member or rep instead, put their contact details on the ticket.

My action isn’t appearing on the scanner — why?

Confirm the check-in action template is added to the event you’re scanning, and that the scanner has synced since you saved your changes. The Assign barcode action only prompts for the registration types you restricted it to, if you set a restriction.

How do I undo a check-in?

In the desktop backend, open the event’s Arrivals and click Undo on the attendee. In the Check In app, switch to Check out mode and scan the attendee to reverse the check-in.
