Product pickups

Allocate items to attendees — meals, drinks, t-shirts, parking passes, welcome packages — and record them as picked up or redeemed at check-in.

Product pickups are items you allocate to an attendee ahead of time and hand out or redeem when they arrive — a meal token, a t-shirt, a parking pass. Each pickup carries a quantity, and you record how much is redeemed at check-in. They are common at conferences, seminars, and festivals for anything that isn’t itself a ticket.

Requirements: Pickups are allocated per attendee, so attendees must already exist before pickups can be recorded. Allocate quantities by importing them with your attendee list — see Import attendees from a CSV.

Set up

Setup has two parts: define the items, then allocate quantities to each attendee.

Define the items

  1. Open the event and go to its Design and setup.

  2. Open the product pickups section and add an item for each thing you hand out. Each item needs a name.

  3. Save.

Allocate quantities

Pickups are pre-allocated, not chosen at the door — you import a quantity per item for each attendee alongside the attendee list. Add one column per item, with each row’s value being that attendee’s quantity, and map the column to the pickup item during import. View an attendee’s pickups

  • On a computer — open the attendee, then open the Pickups tab. It lists each allocated item, the quantity, and how much is left to redeem.
  • In the check-in app — tap the attendee to open their profile and scroll to the pickups section.

Record pickups onsite

Recording a pickup deducts from the quantity remaining. You can record a partial amount; you can’t redeem more than the allocated quantity.

Look up the attendee

In the check-in app, open the attendee’s profile, find the pickups section, and record the pickup for the item.

Automatically at check-in

A pickup prompt can appear on its own the moment you check an attendee in. Configure this with a Product pickup check-in action — see Check-in actions.

Scan a barcode

In the scanner, switch the validation mode to pickup, then scan the attendee or ticket barcode to record it.

  • Check-in tallies — count things at check-in without pre-allocating a per-attendee quantity.
  • Check-in actions — trigger a pickup prompt (and other actions) automatically when an attendee checks in.
  • Import attendees from a CSV — upload the attendee list with a quantity column per pickup item.

FAQ

What’s the difference between a pickup and a check-in tally?

A pickup is pre-allocated per attendee — each attendee has a set quantity of a specific item to redeem. A tally is a running count you tap up or down at check-in, with no per-attendee allocation. Use a pickup when each person is owed a specific amount; use a tally for an open count.

Can I record only part of an attendee’s allocation?

Yes. You can redeem less than the remaining quantity and come back for the rest later. The remaining amount updates after each redemption. You can’t redeem more than the allocated quantity.

Why doesn’t an item show up to map when importing?

The pickup item must be defined in the event’s Design and setup before you import. The column header in your file also has to match the item name exactly, or it won’t map.
