Bulk actions

Select multiple rows in any table — attendees, orders, events, contacts, emails — and run one action on all of them at once, such as check in, email tickets, void, publish, or refund.

Most tables in Guest Manager let you select multiple rows and run a single action on all of them at once. Combine it with searching and filtering to act on exactly the rows you want.

Run a bulk action

  1. Select the rows you want to act on. Click the checkbox on a row to select it individually, or use the Select menu to select the whole page or everything that matches your current filter.

  2. Open the Actions menu. Only the actions available for that table appear.

  3. Choose an action. A confirmation popup opens describing what the action does and showing how many of the selected rows are eligible for it.

  4. Confirm to run it. Rows that aren’t eligible for the action are skipped.

Available actions

The actions you see depend on which table you’re in.

Attendees / tickets

  • Check in — checks in the selected attendees; anyone already checked in is skipped.
  • Check out — checks out attendees, making them eligible to be checked in again while keeping their original check-in time.
  • Undo check in — clears check-in status entirely.
  • Send emails — emails tickets to the selected attendees. Configure the ticket design first.
  • Email tickets to… — emails the selected tickets to a specified address. Limited to 50 rows at a time.
  • Re-assign barcode numbers — issues new barcodes. Any previously distributed ticket stops scanning.
  • Download (PDF) — one PDF with a page per ticket, for printing. Limited to 100 rows at a time.
  • Download (ZIP) — a ZIP containing a separate PDF per ticket, for manual distribution. Limited to 100 rows at a time.
  • Void — voids tickets but keeps them, so scanning a voided ticket shows a “voided” message. May send an email.
  • Delete — fully removes the tickets; a scan then shows “not found”.

Orders

  • Send checkout links — sends each selected order its checkout link.
  • Refund — refunds the selected orders.
  • Recalculate totals — recomputes order totals.

Events

  • Publish — publishes the selected events.
  • Undo publish — unpublishes them.
  • Archive / Unarchive — moves events in and out of the archive.
  • Delete — removes the selected events.

Contacts, emails, lists, and campaigns

  • ContactsDelete.
  • EmailsResend (limited to 2,000 rows at a time) and Delete (erases the record of an outgoing email).
  • ListsMerge combines the selected lists into one.
  • CampaignsDelete.
  • Update an attendee — change a single attendee’s details when you don’t need a bulk action.
  • Web check-in — check attendees in one at a time from the browser.

FAQ

Why are fewer rows eligible than I selected?

Each action skips rows it can’t apply to. Selecting an already-checked-in attendee and running Check in skips that row, for example. The confirmation popup shows the eligible count before you run it.

Why can’t I run Check in, Send emails, or Void?

These actions require an approved account. If your account is still pending approval, contact support to get approved.

Is there a limit on how many rows an action can process?

Some actions cap the batch: Download (PDF) and Download (ZIP) at 100, Email tickets to… at 50, and email Resend at 2,000. Select fewer rows and run the action again if you exceed the limit.

How do I act on rows across more than one page?

Filter or search first, then use Select to select everything that matches. The action applies to all matching rows, not just the visible page.
