Login and account access

How to log in to the Guest Manager backend from Shopify, set a direct password, and recover access after staff turnover.

Installing the Event Ticketing Shopify app automatically creates a Guest Manager backend account tied to your store. A common source of confusion: signing up at guestmanager.com separately creates a second, unrelated account with no data in it. Don’t do that — your account already exists.

Accessing the Guest Manager backend

The simplest path is through Shopify admin:

  1. Go to Apps → Event Ticketing
  2. Click Events
  3. Open any event
  4. Click “Manage in backend”

This logs you into the correct Guest Manager account automatically, no separate password needed.

Setting up a direct login password

If you want to log in at app.guestmanager.com without going through Shopify each time:

  1. Go to https://app.guestmanager.com/login
  2. Click Forgot password and enter your Shopify store’s email address
  3. Set a password via the reset link that arrives by email

Once logged in, you can update your email or password via your name (upper right) → Profile.

“Subscription managed externally by Shopify” error

This appears when you access the backend directly before approving Shopify billing. Fix: open the Event Ticketing app in your Shopify admin and approve the billing limit, then try again.

Account recovery after staff departure

If the person who originally set up the account is no longer available:

  • If their email is still accessible: use Forgot Password at app.guestmanager.com/login to reset it
  • If the email is inaccessible: contact support. After identity verification, the email on the account can be updated and new login instructions sent

After taking over the account, update the profile email to yours via Profile → change email. Admin access is not uniform: super-user admins can reach everything (including the Data section — Imports, Emails, Attendees, Scans, Devices — and admin management), while regular admins have a narrower view.

Regaining access after cancelling

Subscribing to the free On Demand plan restores access to all previously created events and tickets.

Common issues

  • Duplicate account created by mistake: It is not possible to merge or link two separate Guest Manager accounts. If you’ve been working in the wrong account, you can export contacts as a CSV and import them into your Shopify-linked account. Other event data cannot be migrated.
  • Transferring data to a new Shopify store: Not supported. All data is tied to the original Shopify store. Installing fresh on a new store starts from scratch.
  • Linking to two Shopify stores: Not possible. One Guest Manager account maps to one Shopify store.
  • Reinstalling after accidental deletion: Your data is preserved on reinstall. Very old data may have been purged, but recent data should be intact.
  • Tickets disappeared after Shopify customer profile merge: Merging two customer profiles in Shopify can orphan tickets. Contact support — tickets can be located and restored manually.
  • Staff check-in access: Check-in staff use the Access code and PIN in the iOS app, not the account password. These are separate credentials.
